Entering a List
Text lists can be used for various reasons. A teacher can do student class lists, inventory lists, personal lists, staff lists, etc. To enter text into any column of cells, the text can be changed by font size, font style, font color, and be aligned left, center, or right in each cell.
To enter a text list:
  • select any column to enter the list in
  • block that column (highlight it) and apply any changes needed to the cell and text
  • click on the cell where the start of the list will be
  • type in the data in each cell
  • to go to the next cell in the column press 'Enter'
  • NOTE: any changes or corrections to data inside any previous cells; click the cursor in the cell and all changes have to be done via the Formula Bar


Sorting a Single Column Text List
Once a list is typed into a column Excel can Sort the entire list automatically.
  • enter text into column
  • when list complete highlight column to be Sorted by clicking on Column Name
  • When column highlighted click on either Sort Ascending or Sort Descending
  • list wil automatically be sorted



Sorting Two Columns Together
To sort data that is in more then one column; e.g. sort a list of students with their marks.

Sort two columns (according to student Marks):
  • start highlighting columns with Marks column
  • first cell of Marks column will NOT be highlighted = sort will be by Marks
  • click on 'Sort' either ascending or descending
  • data in both columns will be sorted by student Marks


Sorting Two Columns Together
Sort two columns (according to student Name):
  • start highlighting columns with Names
  • first cell of student Name column will NOT be highlighted = sort will be by students in alphabetical order
  • click on 'Sort' either ascending or descending
  • data in both columns will be sorted by student Name



Sorting Three or More Columns Together
Sort three or more columns (according to student Marks in example below):
  • highlighting all columns to be sorted (see Step #1 diagram)
  • click on the top cell that you want sort by (see Step #2 diagram)
  • click on 'Sort' either ascending or descending
  • data in all columns will be sorted by column last selected
